     MotelMAX - Misc
     ---------------

Time Sensitive - MotelMAX is date and time sensitive. Be
sure your computer is set to the correct date and time.

Printer Set-up - MotelMAX prints some reports in
condensed or compressed print mode. It needs to know
what kind of printer you are using and the correct
printer codes to make your printer work in compressed
mode. If you have any trouble locating these codes,
please contact us. We have printer codes for several
hundred printers, too many to list here. Configuring
MotelMAX for your printer is very simple, once you know
     the printer codes.

MotelMAX can be installed in any directory. It does not
     create any subdirectories.

Press <F1> in most browse tables for important help
     information.

     MotelMAX v2.40 Update Info
     --------------------------

Quick Check-in - Use <Shift-F4> on the reservation browse
table to 1> post a payment to the folio, 2> check-in the
guest and 3> print the guest folio. Use this option if you
     require prepayment on check-in.

Zip & Postal Codes - When you enter a postal code in the
guest input form, you can enter the complete code, 10
digits for US or 6 for Canada. However in your postal
code lookup table enter ONLY the first 5 digits for the
US or the first 3 characters for Canada. Do not enter
10 digit US zip codes in the <lookup> table or 6 character
     Canadian postal codes.

Guest Letters - Text Substitutions - Use <xx> to handle
plurals just like the reservation letters. Plurals are
based on the total number of stays.

Reservation Letters - Text Substitutions - These keys can
also be used on the text entries at the end of the
reservation form and the registration check-in form. You
may want to include total amounts and amount due on the
registration check-in form. Write your own text entry
and include the necessary subtitution keys. Four more
text substitutions keys have been added to show the
itemized amount of each tax: <tax_1>, <tax_2>, <tax_3>
     and <tax_4>.

Key Word Search - Enter a key word or code in the guest
note field and later you can tag all guest's in the file
with this key word in the note for letter or label
printing. For example, if you enter 'Mardi Gras' in the
guest note field, next year, you can print mailing labels
or a custom letter for each guest that has this key word
in the guest note and send them a promotional letter or
     brochure.

Mailing Labels - You can print any kind of mailing label
for one or more guests in the guest file. Guests can be
selected by last stay date, zip code, key word search or
tagged individually. Design the label format you want,
     using the text substitution keys.

Occupancy Tax - For the occupancy tax to work, the
occupancy tax level must be set to an amount above 0. The
default setting is now .01. This means any room charge
above one cent is taxed with the occupancy tax. In some
areas, the occupancy tax is not applied unless the room
charge is above a certain amount. Raise the occupancy tax
level to suit your tax situation or leave it at the
default amount which effectively places the occupancy tax
     on all room charges.

User Defined Tax 4 - This user defined tax is a tax on
the base transaction charge amount plus the sales tax.
You can change the description of any tax by editing
that tax account on the general ledger setup screen. The
description you enter in the GL setup will appear on the
folio printout and on screen menu prompts throughout
the program that refer to these tax accounts.

Screen Timer - When you are not using the MotelMAX
program for an extended period of time, you should
return to the Main Menu. The program will now do this
on its own. If a browse table, edit window or dialog
box is idle (no keypress) for 3 minutes, the program
returns to the previous screen, just as if you pressed
<Esc>. You can adjust the screen timer to activate
from 1 to 20 minute intervals. Or set the timer to
<0> to deactivate the screen timer. However, it is
better to leave the timer set. Refer to the Site
Set-up Option to adjust the screen timer.

Days in Month - MotelMAX now has a monthly rate. However,
the number of days in a month can vary for different sites.
Refer to the Parameter Set-up Option to define the number
of days in a month for your site. Enter a number from
     28 to 35.
